How to run autonomous Gmail drafting and weekly briefings with Claude

Executive overview

Claude used to crash halfway through inbox tasks because connecting to Gmail, Calendar, and Drive loaded every available tool call at once, flooding its context. Claude now uses targeted tool search — pulling only the tools needed for each step — leaving enough headroom to complete long-running tasks reliably.

This unlocks two high-value automations: an hourly inbox triage that drafts replies in your voice, and a weekly briefing email synthesising your calendar and inbox.

The breakthrough is not a better model — it's smarter tool loading that keeps the AI sharp across a full task.

Setting up connectors and permissions

  • In Claude Cowork, go to the plus button → Connectors → Manage Connectors to add Gmail, Google Drive, and Google Calendar.
  • Each connector exposes read and/or write permissions; set each to "always allow", "needs approval", or "block".
  • Gmail connector drafts emails but cannot send — a useful built-in constraint.
  • For Google Calendar, require approval on create and update events to stay in control.

Creating a writing fingerprint (methodical approach)

  • Create a local folder (e.g. "Email Buddy") and open Claude Cowork inside it.
  • Run the analysis prompt — Claude reads your last 300 sent emails, categorises them into 4–8 types, and fingerprints your voice per category.
  • The prompt instructs Claude to write a todo.markdown file first so it can track progress across a 20–30 minute run without losing its place.
  • Derived insights are saved to insights.markdown for persistent reference.
  • A second prompt converts those categories and fingerprints into named skills stored only inside your folder.
  • Keeping skills folder-scoped prevents the AI from getting confused by globally stored, overlapping skills.

Creating a writing fingerprint (fast approach)

  • Identify your email categories yourself.
  • Gather 3–5 diverse sent examples per category and paste them into a chat.
  • Ask Claude to fingerprint your voice and convert it to a skill.
  • Lower effort, lower fidelity — quality scales with time invested.

Scheduling hourly inbox triage

  • In Claude Cowork, go to Cowork → Scheduled → New Task.
  • Keep your computer awake (toggle in the scheduler) and the Claude desktop app running minimised.
  • Set frequency to hourly — the most frequent option currently available.
  • Point the task at your Email Buddy folder so it has access to the voice skills.
  • Use Opus 4.6 if your plan allows; otherwise use Sonnet to manage token spend.
  • The triage prompt instructs Claude to: read each unanswered email, assign it a category, call the matching voice skill, and save a draft to Gmail.
  • Optionally: if an email references a past meeting, Claude fetches the meeting transcript from Drive and uses it for context before drafting.

Enhancing the triage with supporting files

  • Add a priority contacts list to the Email Buddy folder — names, roles, and any tone adjustments.
  • Reference that file explicitly in the triage prompt so Claude knows to consult it.
  • Any file added to the folder must be referenced in the prompt to be used.

Setting up a weekly briefing

  • Create a second scheduled task (e.g. Monday morning) with a briefing prompt.
  • Claude reads your calendar for the next 7 days and your inbox for the past 14.
  • It drafts a labelled email (e.g. "Week Ahead") into your Gmail drafts with defined sections.
  • Customise the sections by running an AI interview: open a chat, paste an interview prompt, and let Claude ask one question at a time to learn what matters to you — key contacts, active projects, priorities — then synthesise it into a reusable briefing prompt.

Claude Routines (preview)

  • A new cloud-based scheduling option: tasks run even when your computer is off or the desktop app is closed.
  • Still in research preview; expect bugs.
  • Key advantage over desktop scheduling: no need to keep a machine awake.
