Most teams use ClickUp for tasks, but basic financial tracking — subscriptions, reimbursements, team budgets — often lives in disconnected spreadsheets or reminder apps. This template re-purposes ClickUp list rows as income/expense line items, using custom fields for amounts, categories, and receipts. Three filtered views (all transactions, payments due, receipt form) cover the main workflows without requiring any accounting knowledge. The template is deliberately narrow: it fills the gap between "no system" and a dedicated bookkeeping tool, not a replacement for QuickBooks or Xero.

Template structure and field design

  • Task name holds the transaction description; rows represent line items, not action items
  • Single amount field uses negative values for expenses because ClickUp cannot sum two separate columns together
  • Bill date (when incurred) and due date (when paid) are separate fields re-purposed from ClickUp defaults
  • Income/expense category is a single dropdown field combining both directions
  • Receipt field links out rather than uploads, avoiding storage bloat inside ClickUp

  • All transactions: default list, every row visible, no filters
  • Payments due: filters out income categories, groups by due date, auto-moves rows between overdue/next-7-days/future buckets
  • Submit receipt form: mobile-friendly form view that appends a new row on submission — the highest-value view for on-the-go capture

  • Pending: anticipated future transactions (scheduled bills, expected income)
  • To do: received bills that need action
  • Done: reconciled items, no further action needed

  • Google Sheets, Airtable, or Coda give far more calculation power for the same use case
