How to use Notion as a company operating system
Executive overview
Most teams lack a single source of truth, so people constantly ask managers for information that should already be documented. This Notion template replaces that chaos with a structured operating system covering goals, processes, people, and communications.
The system has two layers: a company hub for strategy and cross-team visibility, and team pages for day-to-day projects and resources.
A Notion template only works if you fill it with real systems — the structure is the easy part.
Who are we section
- One-page answer to the question every employee should be able to answer on day one or day 500
- Houses three-year target, company purpose, core values, and strategic anchors
- Single reference point — no need to dig through decks or ask leadership
Company goals and quarterly planning
- Annual planning treated as ineffective; replaced with quarterly sprints tied to a three-year (12-quarter) target
- Each quarterly sprint plan includes: revenue goals by month, quarter theme, North Star metrics, key initiatives
- Key initiatives are the greenlit projects for the quarter — each has an owner, due dates, team, and expected results
- Key initiatives link back to individual team pages, so each team sees only what's relevant to them
- Scorecards and the 12Q planning canvas are built in Google Sheets and linked into Notion
Value engines and playbook library
- Value engines are business process maps showing how the company gets and serves customers — visualised in Whimsical, embedded in Notion
- Playbooks are standard operating procedures; each has a named owner to ensure they stay current
- Each playbook is tagged to a team and a value engine, so context is always one click away
Team directory
- Lists all people by team with their critical accountability bullets — the specific outcomes each person owns
- Shows direct reports for managers and team assignments
- Optionally stores personal details (favourite candy, sports team) to support culture
Team section
- Pre-built pages for product, marketing, sales, and operations — add or rename as needed
- Each team page has a projects area, a resources area (evergreen docs, scorecards, ideal client profiles), and a filtered view of that team's key initiatives
- Filtering key initiatives by team is a single dropdown edit when adding a new team
- Archive old projects to prevent clutter
Updates and announcements
- Templates included for: company newsletter, CEO update, memo, and vision memo
- Vision memo format supports sharing new ideas or concepts with structured context
