How to use ClickUp rollup fields with relationships
Executive overview
Rollups in ClickUp surface data from related tasks without leaving your current view. They only work when a relationship exists between two tasks — rollups are a layer on top of that connection.
Two rollup types exist: inline previews within a relationship, and rollup columns that add calculations. Custom fields are only available in rollups when the relationship is scoped to a specific list, not workspace-wide.
Rollups let you summarise and aggregate related task data — status, dates, custom fields — into a single column with optional calculations.
What a rollup is
- A rollup shows data from a related task without navigating to it
- It requires a relationship between two tasks to exist first
- Rollups can display any field from the related task: status, phone number, date, custom fields
- Two ways to add: via the relationship panel inside a task, or as a standalone rollup column in a list view
Rollup columns and calculations
- A rollup column (added via the field editor) works like an inline rollup but adds a calculate option
- For date fields: choose earliest, latest, range, or no calculation
- For status fields: displays a visual bar chart showing the breakdown of statuses across all related tasks
- Useful when multiple tasks are related to one parent — e.g. three contacts linked to one company
Key constraint: relationship type matters
- Rollups with custom fields only work when the relationship is scoped to tasks from a specific list
- If the relationship is set to "any task in workspace", custom fields are not available as rollup options
- Dependency links and task links also do not support custom field rollups
Common use cases
- CRM setup: relate contacts to companies; rollup phone numbers, status, or close dates to the company record
- SOPs and people: relate staff tasks to SOP tasks; see which procedures are assigned to which person
- Automation database: relate automations to software tools; roll up status and details
- Content repurposing: relate source content to derivative pieces; roll up due dates across lists using dependency relationships
Current limitations
- You cannot create a rollup of a rollup — chains of relationships do not propagate rollup data through multiple hops
- This limitation may change in future ClickUp updates
