How to run an effective annual strategy and planning session
Executive overview
Most annual planning sessions fail because leaders try to facilitate while also participating. The setting and structure of the session shape the quality of thinking as much as the agenda does.
Bring in an outside facilitator. Go off-site somewhere inspiring. Build in time for meals, walks, and connection — these aren't extras, they're what unlock big-picture thinking.
The environment you plan in determines the size of thinking you produce.
Setting up the session
- Use an outside facilitator so you can be fully engaged as a participant
- Go off-site — Airbnb, VRBO, resort suite, or a friend's place with a great view
- Choose somewhere inspiring: mountains, beach, or anywhere that shifts mindset
- Take a day or two; don't rush it
- Add meals, walks, and shared experiences — not just meeting time

- Revisit the BHAG — is it still relevant?
- Check whether the vivid vision needs updating
- Reflect on how the past year went
- Identify the biggest priorities for the year ahead
- Review all seven strata and the top section of the vision summary
- Work back from the annual view to set quarterly plans
