Building a YouTube production workflow in SmartSuite

Executive overview

Managing YouTube content across filming, publishing, and repurposing requires tracking both tasks and data in one place. SmartSuite's linked records let you connect footage, keywords, playlists, and social posts without duplicating effort. The workflow splits into two layers: databases (playlists, files, key phrases, CTAs) that store reference data, and pipelines (video, social) that move work through stages. Separating social posts into their own app — rather than embedding them in video records — gives flexibility to produce zero or many posts per video.

General tasks and solution structure

  • Solution contains a simple general tasks app for one-off to-dos
  • Repeating tasks feature now built into SmartSuite natively, without needing automations
  • Apps are grouped into two logical sections: pipelines and databases

Database layer: reference information

  • Playlist database tracks playlist name, status, and description; linked to video records
  • Event and trip database logs the date and location of footage captures for vlog-style content
  • File database tracks each footage file with fields: Google Drive link, who's in it, recording date, file type, trip, and content description — searchable by keyword (e.g. "cow")
  • New files auto-created in SmartSuite via a Make (Integromat) automation triggered by uploads to a Drive folder
  • Call-to-action database catalogs desired viewer actions (subscribe, visit shop) and links them to specific videos to track usage frequency
  • Key phrase database stores researched keywords with TubeBuddy scores, search volume, and a formula-generated YouTube search URL for future rechecking

Video pipeline: the core record

  • Each video record has: episode number, status, focus key phrase, content category, and a generated title field
  • Production info section holds: video concept notes, linked raw footage files, Google Drive folder link, script, watch-next video, and CTA link — plus a filming checklist
  • Publishing info section holds: publish date, playlist link, video title, description, and thumbnail upload — plus a publishing checklist
  • Thumbnail attachments automatically display as the record's cover image in board view

Blog and social repurposing

  • Blog repurposing lives inside the video record as a SmartDoc field — simple copy-paste to website when ready
  • Social posts are moved to a separate app (social pipeline), giving a flexible many-to-one relationship with videos
  • Social pipeline records include platform-specific fields (e.g. character-limited Twitter field) and their own checklists
  • Social checklist status surfaces back on the video summary view so progress is visible at a glance

Automation and team coordination

  • Email digest automation planned to notify both partners on video statuses — scheduled and in-progress
  • Automation covers the project-manager role for small teams or solo creators
  • Full setup built on SmartSuite's free plan in roughly one afternoon
