- Standard operating procedures (SOPs) — document every task as if teaching someone from scratch. Build these by doing the work yourself first. Reduces onboarding friction significantly.
- Project management tool — use Trello, Notion, Airtable, or Asana to track campaigns through stages (brainstorming, prospecting, vetting, outreach, completed). Kanban boards give the whole team a live view of pipeline status.
- Campaign management tool — Google Sheets is the recommended choice. Supports simultaneous collaboration, custom functions, App Scripts for third-party API integration, and built-in data functions (QUERY, FILTER, VLOOKUP).
Keeping the system healthy
- Treat the system as a living structure — identify inefficiencies as they emerge and fix them fast.
- Small friction points compound; resolve blockers with the people involved in those steps.
