Switching from ClickUp to SmartSuite: hierarchy, translation, and migration mistakes
Executive overview
Migrating from ClickUp to SmartSuite feels harder than it is because the two tools share similar concepts under different names. Most friction comes from carrying ClickUp habits — heavy dashboards, frequent exports, duplicate custom fields — into a tool that handles those needs differently.
SmartSuite's linked records, field-level permissions, and richer default values eliminate many workarounds that ClickUp users rely on.
The core migration insight: don't rebuild your ClickUp structure in SmartSuite — use SmartSuite's features to consolidate and simplify it.
Hierarchy comparison
- ClickUp workspace = SmartSuite workspace
- ClickUp spaces = SmartSuite solutions
- ClickUp folders ≈ SmartSuite apps (or a separate solution, depending on scope)
- ClickUp lists = SmartSuite apps (often consolidatable — multiple lists may become one app)
- ClickUp views = SmartSuite views
- ClickUp tasks = SmartSuite records
- ClickUp custom fields = SmartSuite fields (with added field-level permissions)
- ClickUp subtasks = SmartSuite sub items
- ClickUp checklists = SmartSuite checklists
- ClickUp task-level permissions; SmartSuite permissions go down to the field level
Feature translations
- ClickUp Home / My Work → SmartSuite My Work
- ClickUp Pulse → SmartSuite member directory
- ClickUp Clip → no native equivalent; use Ply integration with Loom or Dub
- ClickUp Dashboards → SmartSuite views with widgets (not a separate hierarchy level)
- ClickUp Whiteboards → embed external tools (e.g. Figma) in a dashboard view
- ClickUp Docs → SmartSuite records with a Smart Doc (long-text) field
- ClickUp Goals → SmartSuite records with linked record networking; use SmartSuite's goals progress template
Migration process
- Export ClickUp data as CSV; import into SmartSuite using the CSV import wizard
- A more automated ClickUp-to-SmartSuite import wizard was in development at time of recording — check SmartSuite's data import docs for the latest method
- Skip the import only if you have used ClickUp for a very short time with no meaningful history
6 common migration mistakes
- Over-building dashboards — SmartSuite's summary rows and stronger formula engine mean far fewer dashboards are needed than in ClickUp
- Defaulting to screenshots and exports — SmartSuite has more sophisticated export options including document design (PDF generation); learn these before falling back to old habits
- Migrating your HR/people directory — SmartSuite's member directory and working-hours settings replace the need for a dedicated people app; don't recreate what's already built in
- Recreating all automations — SmartSuite default field values and field-level settings automate many things ClickUp required explicit automations for; audit before rebuilding
- Duplicating data to work around relationship limits — SmartSuite linked records support grouping, filtering, sorting, and reporting; remove the redundant custom fields and folder layers that existed only to compensate for ClickUp's relationship limitations
- Looking for support on Facebook — SmartSuite's user community is on its own platform, not Facebook; also use the public Canny feedback board to subscribe to specific feature updates
