SmartSuite mobile app: a field worker's walkthrough
Executive overview
Field teams need to log work, update statuses, and access job details without sitting at a desk. SmartSuite's mobile app mirrors the web version closely — navigation, records, comments, attachments, and even field creation are all available on-device.
The mobile app is best used for consuming and updating existing data; complex setup is faster on a larger screen.
Navigation and workspace layout
- Bottom navigation: Home, My Work, Starred, Notifications, More
- Top bar: All / Recent / Favorites tabs, workspace switcher, search, and new-solution button
- Favorites lets field workers pin the solutions they use daily for fast access
- Workspace switcher supports members of multiple organisations or subcontractors working across businesses
- Settings (under More): theme, member directory with real-time status, time zone, and contact info
Working through a day in the field
- Start in Notifications to catch any job changes before heading out
- My Work shows today's tasks and overdue items; group by due date to prioritise
- Open any record to see full details — unit, tenant, attachments, linked records
- Tap linked records to open them in a stacked modal; swipe down or use the back arrow to return
- Linked context (e.g. other open issues at the same property) is visible before you arrive, avoiding repeat trips
Updating records on-site
- Tap a status field to change it (e.g. To Do → In Process → Complete)
- Checklist items update progress automatically as each is checked off
- Use the comment field to log what was done — creates a permanent audit trail on the record
- Comments replace text messages, keeping all job communication centralised in one place
Adding fields and photos from mobile
- Tap the three-dot menu → Modify Fields to add a new field directly from the phone
- File and images fields let workers upload photos taken on-site via the camera
- New fields apply to every record in that app; setup only needs to happen once
- Photos sync to SmartSuite in near real-time, visible to anyone on web or mobile
Logging new records in the field
- Navigate to the relevant app (e.g. Requests), tap + to add a record
- Fill in name, status, type, unit, notes, and date reported on the spot
- Saved records appear in the web version almost immediately
- Pro tip: use a SmartSuite form for structured, fast data entry by field crews — faster than navigating the full app
Browsing and map views
- Inside a solution, switch between views (e.g. recent activity, requests by status) using the view selector
- Map view lets workers tap a property and get directions without leaving SmartSuite
