How to write effective outreach emails that get replies

Executive overview

Most outreach emails fail because they're about the sender, not the recipient. The fix is a compelling outreach excuse — a genuine reason to contact someone that frames your ask around their interest.

Good outreach excuses centre on what the recipient gains. The link request, if made at all, should be soft and indirect.

If your content is genuinely useful, it persuades — your words don't have to.

The three outreach excuses

  1. You know they're interested in the topic and your article offers a fresh angle they can't ignore.
  2. Your article contains new proof or data that reconfirms a stance they already hold.
  3. You mentioned them or featured their work in your article — appeal to ego, not knowledge.

Writing the email

  • Open with a specific observation about them (e.g. they're linking to a 6-year-old resource).
  • Name the problem for them: their readers are getting an outdated resource.
  • Offer your content as the solution — briefly, with one or two concrete differentiators.
  • Make the link request soft: "if you find it useful, perhaps you'd consider linking to it."
  • A direct ask ("could you link to us?") undoes everything that came before it.

On follow-ups

  • Send at most one follow-up.
  • Automated, repeated follow-ups damage your reputation.
  • No evidence that 3rd or 5th follow-ups produce positive replies.
